Dear committees and fraternities, On the 4^th of July the constitutional drink of the 43^rd board will take place. From 19:00 onwards you as a committee or fraternity are also welcome to come by GEWIS and say your congrats to the new board. Do note that we cannot guarantee we will have time for every committee and fraternity to come by. If you want to attend the drink from before 19:00 already (and drink some free beer!), you can subscribe to help out as order committee. Some things to take into account during the drink are: * During the inauguration drink it will be very hot in the GEWIS room, therefore we advise everyone to drink enough water during the drink. * Don’t stick any kind of stickers onto the security cameras, ceiling or walls. If the ceiling is damaged, the responsible person/association will be charged. * Don’t forget to access the building via the elevator to the third floor and leave the building via the stairs which will be clearly indicated. * As for the `brasregels’: o Don’t `bras’ with injured people o Stop as soon as someone shouts `stop’ or `glas’ o As soon as an object is brought outside the room, it is secured. You can send a letter, but the object must be brought back so the inauguration drink can continue as usual. o Do not bring glass outside the room. Dear organ, As GDPR officer I have been checking whether organs with a google drive are adhering to the standard that we would like. I have found that you have stated in your committee regulations that you will use a google drive account, sadly I have also found that there is personal data on your google drives. I would like to emphasise that data that does not necessarily need to (remain on) Google Drive should be moved to the committee share on the GEWIS fileserver. This becomes even more a priority if this data contains personal information (names, email adresses, phone numbers, etc.). This will mostly happen when you use a google form and extract the data to an excel sheet. The GEWIS file server is not only more secure as we know where it is located and what happens to the data and the server itself. We also know that even now Google as a third party provider is not the safest and we would like to share as little data with them as possible (Like this for example). I would also like to point out that we provide options for you to work/acces GEWIS documents from a non-GEWIS PC (often VDESKTOP). Not everybody might know about these system, so you could refer your fellow organ members to here. Dear organs, A new version of the financial templates is available on the public archive. New additions: * A checkbox indicating whether your budget includes VAT or not (true by default). * Links to the financial and sustainability guidelines are added. * Specifications in the Receipt Overview tab are now taken directly from the Budget tab and are displayed in a dropdown. This means that it is no longer possible to make mistakes in the names of posts. * More rows were added in the receipt overview to give more space for receipts. * A general explanation row is added to the long template, similar to how it exists in the short template. The new version is v1.2.0. Future budgets should use this version instead of the previous one.
